Job Summary
The Executive Assistant (EA) acts as a trusted advisor and operational partner, enabling the President to focus on high-level strategy and company vision. The EA is responsible for enhancing productivity by managing key tasks, coordinating strategic initiatives, and streamlining communication. The EA ensures President’s time and resources are effectively utilized, while serving as a liaison between the President and internal/external stakeholders.
Job Responsibilities
Executive Support:
- Manage the President’s calendar, prioritize meetings, and handle complex scheduling logistics.
- Anticipate the President’s needs and independently manage day-to-day tasks, including email management and meeting preparation.
- Coordinate executive meetings by creating agendas, taking minutes, and ensuring follow-up on action items.
Communication & Relationship Management:
- Serve as a trusted communication conduit between the President and internal teams, operational partners, and external resources.
- Assist with the President’s inbound communications, respond on their behalf when appropriate, and ensure key follow-ups are tracked and executed.
- Coordinate and schedule meetings with senior leadership, clients, and partners on behalf of the President and CPO.
- Handle confidential and sensitive information with discretion and professionalism.
Project and Task Management:
- Assist with follow-up and reporting of high-priority projects and initiatives led by the ELT.
- Draft correspondence and communication materials for the President.
- Collaborate on the preparation of reports, presentations, and briefing materials for meetings.
- Continuously improve workflows and systems that streamline the President’s day-to-day responsibilities.
Stakeholder Management:
- Build and maintain relationships with members of the Executive Leadership Team.
Job Qualifications
Education/Certification Requirements:
- Bachelor’s degree in Business, Communications, or a related field is preferred.
Experience Requirements:
- 3+ years of experience supporting C-level executives, with a focus on strategic and high-level operational support.
- Ability to work effectively in a high-growth or fast-paced environment.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with a strong focus on communication management and presentation design.
- Strong communication skills, both verbal and written, with demonstrated experience drafting professional correspondence, presentations, and reports.
- Ability to maintain discretion and confidentiality in handling sensitive information.
- Ability to work in a fast-paced environment and effectively meet deadlines.
